CONSENT AGENDA
The County of San Benito entered into a contract with Granicus effective January 1, 2019, for website-related services. The agreement was subsequently amended in December 2023.
On December 12, 2023, the Board of Supervisors approved Amendment No. 1 with Granicus, LLC, for ongoing website services, including govAccess Maintenance, Hosting, Licensing, and Website Customization, in an amount not to exceed $70,820.00, for the period from January 1, 2024, through December 31, 2026.
The current agreement is scheduled to expire on December 31, 2026. Granicus has provided the County with an option to continue govAccess Maintenance, Hosting, and Licensing services for an additional one-year period, from January 1, 2027, through December 31, 2027, at an additional annual subscription cost of $6,517.37. Amendment No. 2 would therefore increase the total contract amount to an amount not to exceed $77,337.37.
The services provided under the agreement include ongoing software updates, technical support, access to training and best-practice resources, an annual website health check, DDoS mitigation, and disaster recovery services.
Staff recommends a one-year extension to maintain continuity of the County's website services while allowing sufficient time to conduct a competitive Request for Proposals (RFP) process. During the extension period, staff intends to issue an RFP for the County's website services and its Peak Agenda agenda management system. The competitive procurement process will allow the County to evaluate available solutions, functionality, service levels, and costs, and determine the best options for the County's future website and agenda management needs.
Peak Agenda is currently provided by Granicus and is used by the County for agenda management and minutes-related functions. The existing Peak Agenda solution includes agenda creation and management functionality and supports the County's public meeting processes. The County's current Peak Agenda agreement extends through December 31, 2027.
Extending the website agreement through December 31, 2027, will align the website contract period with the existing Peak Agenda contract period and provide staff an opportunity to competitively procure these services while maintaining uninterrupted County operations.
Approval of Amendment No. 2 will extend the website contract expiration date from December 31, 2026, to December 31, 2027, and increase the total contract amount to $77,337.37.
Amendment No. 2 will increase the contract amount by $6,339.62 for the additional one-year subscription period of January 1, 2027, through December 31, 2027. The amended total contract amount will not exceed $77,148.79.
