ELECTRIC DEPARTMENT MISCELLANEOUS SUPPLY PURCHASE FOR SCHEDULED PROJECTS
This contract is for the purchase of miscellaneous supplies necessary to complete the City's electric distribution system's scheduled projects.
Staff issued a Request for Quotation (RFQ) for inventory necessary to complete scheduled projects. On August 31, 2026, an RFQ document was posted to Ames Bids, the electronic bidding site. The RFQ allowed each prospective bidder to bid on any or all of the six lines of requested equipment, and the City can award one or a combination of contracts to meet the best interests of the utility.

Based on the line-by-line evaluation of the six different requested equipment types, staff is proposing awards to each of the following bidders:

For bid line 1: foundation anchors, Fletcher Reinhardt submitted a bid that met specifications and included an escalation/de-escalation clause tied to the prices of copper and aluminum. Final invoicing will reflect the actual delivered lengths of cable (bid line 6) at the quoted unit price. It should be noted that this is the only recommended bid that is not firm.
There is no budgeted amount for these purchases. The items will be placed into inventory, where they will be charged to each specific project as the material is put into service.
- Award the following contracts for the purchase of inventory for Electric Services; Payments will be based on unit prices and quantities ordered, inclusive of all applicable sales taxes:

Award a contract to Fletcher Reinhardt Company, of Cedar Rapids, IA, in an amount not-to-exceed $24,162.63.

Award a contract to Rural Electric Supply Company (RESCO), of Ankeny, IA, in an amount not-to-exceed $4,235.06.

Award a contract to Power Line Supply, of Williamsburg, IA, in an amount not-to-exceed $28,533.48.

Award a contract to Echo Electric Supply Company, of Ames, IA, in an amount not-to-exceed $1,166.30.

- Direct staff to award the contracts to some other combination of bidders.
- Reject the bids.
These supplies are critical components to complete planned projects and provide reliable electric distribution services to the utility customers. Having parts readily available for quick repairs without significant disruption to services is imperative. Therefore, it is the recommendation of the City Manager that the City Council adopt Alternative No. 1, as described above.
